Who we are
Satsuma is a digital operations studio for small businesses, based in Northeast Ohio. In this policy, “Satsuma”, “we” and “us” mean Satsuma, and “you” means anyone who visits satsumahq.com or gets in touch with us.

What this policy covers
This policy covers personal information we collect through satsumahq.com, the forms on it, the free templates and tools, and the emails, calls and meetings that follow.
It does not cover data we handle for clients while delivering a Review, Build or Run engagement. That work is governed by the written agreement with each client, which sets out what we access, why, and how it is protected.
Information we collect
Information you give us
- Booking an operations review: your name, work email, what you want fixed first, and anything you type in the free-text field.
- Downloading a template: your name, work email and which template you asked for.
- Emails, calls and meetings: what you choose to tell us, including your company, role and business details.
Information collected automatically
When you visit the site, your browser and our tools record technical information, including:
- Your IP address and the approximate location it suggests (city or region, not your street).
- Browser, device type, operating system and screen size.
- Pages you visit, how long you stay, what you click, and the page or ad that sent you (including UTM tags in the link).
- Date and time of each visit, and identifiers stored in cookies or similar technology.
- Server logs kept by our hosting provider for security and reliability.
Information from other sources
We may receive information about you from advertising and analytics platforms (for example, which ad you clicked), from business networks such as LinkedIn, and from business contact data providers we use to research companies that may be a fit for our services. That information is limited to professional details: name, role, company, work email and work phone.
The scorecard and the ROI calculator run in your browser. Your answers are not sent to us unless you choose to share them.
Cookies and analytics
We use cookies, pixels, tags and similar technology to understand how the site is used, to measure our marketing, and to show relevant ads to people who have visited. By using the site you acknowledge that we collect this information as described here.
Cookies fall into three groups:

Analytics and advertising providers may set their own cookies and collect information about your activity on our site and other sites over time. Their use of that information is governed by their own privacy policies.
We combine analytics from these tools into our own reporting so we can see what brings in business. We do not use them to identify you by name unless you have also filled in a form or contacted us.
How we use information
- To reply to you, book and hold your operations review, and send what you asked for, such as a template.
- To run, secure and improve the site, and to fix what breaks.
- To understand which pages, channels and ads bring in business, and to decide where to spend.
- To send occasional emails about our services. Every marketing email has an unsubscribe link.
- To research and contact businesses that may be a fit, using professional contact details.
- To meet legal obligations, enforce our terms, and protect Satsuma, our clients and visitors.
We do not use your information to make decisions about you that have legal or similarly significant effects, and we do not put it into public AI tools.
Legal bases (visitors in the UK and EEA)
If you are in the United Kingdom or European Economic Area, we rely on: your consent (for non-essential cookies and marketing emails where consent is required), our legitimate interests (running and improving the site, measuring marketing, and contacting businesses about relevant services), taking steps at your request before a contract (booking a review), and legal obligations. You can withdraw consent at any time.
How we share information
We share personal information only with:
- Service providers who work for us under contract: hosting (Netlify), email and calendar, our CRM, analytics, advertising platforms, scheduling and call tracking. They may only use it to provide their service to us.
- Professional advisers such as lawyers and accountants, under confidentiality.
- Authorities when the law requires it, or to protect rights, safety and security.
- A buyer or successor if Satsuma is merged, acquired or sells its assets, subject to this policy.
We do not sell personal information for money. Some advertising cookies may count as “selling” or “sharing” for cross-context behavioral advertising under certain state laws, such as California’s. You can opt out as described below.
Your choices
- Cookies: block or delete cookies in your browser settings. The site still works without non-essential cookies.
- Google Analytics: use Google’s opt-out browser add-on at tools.google.com/dlpage/gaoptout.
- Ads: adjust your ad settings with Google, Meta and LinkedIn, or use the industry opt-out tools at optout.aboutads.info and youronlinechoices.eu.
- Global Privacy Control: where state law requires it, we treat a browser’s Global Privacy Control signal as a request to opt out of sale or sharing for that browser.
- Email: use the unsubscribe link in any marketing email, or write to us.
Your rights
Depending on where you live, including California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon and other states with privacy laws, and the UK and EEA, you may have the right to:
- Know what personal information we hold about you and get a copy.
- Correct information that is wrong.
- Delete information we hold about you.
- Opt out of the sale or sharing of personal information, targeted advertising and profiling.
- Limit use of sensitive personal information (we do not collect it on purpose).
- Appeal a decision we make about your request.
- Not be treated differently for using these rights.
To make a request, email hello@satsumahq.com with “Privacy request” in the subject. We will confirm your identity using information we already hold, and respond within 45 days, or the time your local law requires. An authorized agent may make a request for you with proof of authority. If we decline, we will explain why and how to appeal. UK and EEA residents may also complain to their data protection authority.
How long we keep it
- Form submissions and emails: for as long as we are talking, then up to three years, unless you become a client.
- Client records: for the length of the engagement plus the period our agreements and tax law require.
- Analytics data: according to each tool’s retention setting, generally 14 months or less for Google Analytics.
- Server logs: kept by our host for a limited period for security.
When we no longer need information, we delete it or remove anything that identifies you.
Security
We protect personal information with multi-factor sign-in on our accounts, access limited to the people who need it, encryption in transit, and vendors we have reviewed. No system is perfectly secure, so we cannot promise that information will never be accessed without permission. If a breach affects you, we will tell you as the law requires.
Where information is stored
We are based in the United States, and our service providers store information in the United States and other countries. If you contact us from outside the United States, your information will be transferred to and processed in the United States, with safeguards such as standard contractual clauses where the law requires them.
Children
The site is for businesses. It is not directed at children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
We will update this policy when our practices change, and change the date at the top. If a change is significant, we will say so on the site or by email where we can.
